Licensed Drivers Welfare Association Membership Terms and Conditions

The following are the membership terms and conditions of the Harlow Licensed Drivers Welfare Association (the “Association”) and you should read them carefully as they set out your rights and obligations as a member of the Association. These terms and conditions are based on our Constitution.

The Harlow Licensed Drivers Welfare Association (HLDWA) is a member of the National Private Hire & Taxi Association (NPHTA)

We endeavour to make membership as accessible as possible to all stakeholders concerned with our trade.

By joining HLDWA as a member you agree to adhere to the terms and conditions of membership outlined below. This agreement is considered to constitute a membership contract between HLDWA and the member. 01. Qualification for Membership

Membership is open to all persons, companies and organizations which support the objects of the Association and which comply with one of the classes of members specified below at the discretion of the Chairman.

  • Private Hire Drivers
  • Hackney Carriage Drivers
  • Private Hire Operators (Non-Voting Observer Status)
  • Commercial Sponsors (Non-Voting Sponsorship purpose only)

02. Membership Classes

    Full Membership:
  • Private Hire & Hackney Carriage Drivers only
  • Eligible to vote at Annual General Meetings (AGM) and Special Meetings
  • Eligible for election to the managing Committee
  • Participate and help with formulating policy and direction of the Association
    Affiliated Membership:
  • Private Hire & Hackney Carriage Drivers only
  • Ineligible to vote at Annual General Meetings and Special Meetings
  • Ineligible to stand for elections

03. Application for Membership

  • All Harlow licensed drivers can apply to be a member by downloading and returning a completed form to us. The form is available on www.hldwa.uk.
  • Commercial sponsors will need to contact HLDWA directly via email at Contact@hldwa.uk to discuss membership options.
  • Operators, please contact HLDWA Chairman via email at Chairman@hldwa.uk to discuss membership.
  • All memberships become active once the chairman has approved your application and you have paid the membership fee.
  • Commercial and Operator membership is non-voting, and you are not eligible to attend AGM’s or Special Meetings.
  • If for any reason your membership application is not successful, any fees paid will be refunded back to you.

04. Payment

  • HLDWA is only accepting cash at present. £20 for Full Membership, £5 or more for Affiliated Membership.
  • The price is the same regardless of when you become a member.
  • All memberships valid till next end of March regardless of joining period.
  • All memberships will auto renew every April unless you tell us otherwise in advance
  • You may cancel your membership anytime by giving us notice via email at Contact@hldwa.uk. You will forfeit your membership fee and no refund will be given unless at the discretion of the board for exceptional circumstances.
  • HLDWA membership subscriptions are deemed to be annual commitments.

05. Membership Benefits

  • We have negotiated various commercial discounts with our sponsors for members.
  • Only Full Members are eligible for these discounts on production of your HLDWA lanyard and Badge.
  • Discounts are offered at commercial partners discretion, HLDWA takes no responsibility if discount is not honoured.
  • Our commercial partners can withdraw any offer(s) without notice.

06 Website and Social Media

    1.Respect!
  • No racist, derogatory or inflammatory language.
  • Be courteous and polite at all times
  • Everyone’s ideas and opinions matter
  • Keep an open mind and agree to disagree
    2.Communication
  • All posts/ videos must be in ENGLISH! Communicating in any other language is strictly forbidden, all members have a right to participate in the conversation.
  • Make sure your post is clear and concise and to the point
  • DO NOT share any messages or posts outside the membership! This rule will be strictly enforced, any infringement will be dealt with severely.
    3.Relevance
  • Make sure your post is related to anything of importance to do with the Private Hire/ Hackney trade in HARLOW.

07. Misconduct

  • All members are expected to uphold the highest standards at all times.
  • Any member that brings the association into disrepute shall depending on the severity, be given a written warning or asked to present themselves in front of the committee to explain their actions.
  • The Committee shall have the power to expel members for serious breaches of the rules in their view
  • Any member expelled shall not be eligible for membership for a period of 12 months. The Committee shall have discretion to waive this rule in exceptional circumstances.
  • All expelled members will forfeit their membership fee.

08. Privacy

  • HLDWA operates in accordance with the EU General Data Protection Regulations (GDPR) and Data Protection Act 1998 in the collection, processing, holding and transmitting of your personal information. We promise to use your data in a fair, transparent and ethical way.
  • We collect your personal information in order to fulfil your membership contract with us and provide you with the services you have signed up for. We have procedures and security features in place to keep your data secure. We will never share or sell your information with third parties, and only share it with organisations we work with when it's necessary for the fulfilment of your membership, and when the privacy and security of your data is assured. You can ask to see what information we hold about you, request changes to the data, or instruct us to delete it, however this may mean we are no longer able to deliver the benefits you have paid for. If your membership lapses we will retain your information for a maximum of 3 years in order to let you know about the organisation and how to re-join. You can opt out of these communications at any time. We will retain basic information about you for a maximum of six tax years to comply with UK tax law.

  • Feedback from members is warmly welcomed – we are always keen to hear your thoughts and suggestions on how we can improve. Please send all comments and complaints to Contact@hldwa.uk.

10. Changes to Membership Terms & Conditions

  • HLDWA reserves the right to make changes to these Terms and Conditions when necessary. You will be consulted and notified if there are any significant amendments which alter the nature of the agreement.
